2. What Personal Data Do I Process?
As the Controller, I process the following categories of personal data:
- Contact details: email address, phone number, residential or business address.
- Identification data: name, surname, title, ID No., VAT No. (if you are an entrepreneur).
- Data contained in documents sent for translation or for a price quote request: All personal data contained in the files and documents you provide to me for the purpose of preparing a price quote or performing a translation. This may include ordinary personal data as well as special categories of personal data (i.e., sensitive data, e.g., data concerning health, religious beliefs, trade union membership, etc.), if they are part of the texts to be translated.
- Data on services provided: information about ordered translations, invoicing, payment details (e.g., bank account number).
- Communication data: records of communication between you and me (emails, messages from forms).
3. For What Purpose and on What Legal Basis Do I Process Personal Data?
I process your personal data for the following purposes and on the following legal bases:
- A. Processing of price quotes and negotiation of a contract (legal basis: Art. 6(1)(b) GDPR – performance of a contract or taking steps at the request of the data subject prior to entering into a contract):
- I need your identification and contact details, as well as data contained in documents sent for pricing, to assess the scope and complexity of the translation and to prepare a price quote for you.
- B. Provision of translation services (legal basis: Art. 6(1)(b) GDPR – performance of a contract):
- I process your identification and contact details, and especially all data contained in the translated documents, for the purpose of duly performing the ordered translation. Without this data, I would not be able to provide the service.
- C. Compliance with legal obligations (legal basis: Art. 6(1)(c) GDPR – compliance with a legal obligation):
- I process your identification and invoicing data for the purpose of issuing tax documents and keeping accounts in accordance with applicable legal regulations (especially the Act on Accounting, Act on VAT).
- D. Legitimate interests of the Controller (legal basis: Art. 6(1)(f) GDPR – legitimate interest):
- For the protection of my legal claims (e.g., in the event of a dispute regarding the services provided), for internal record-keeping and administrative purposes.
- For communication with you regarding the services provided and any queries.
4. Data Retention Period
I retain your personal data only for the period strictly necessary to fulfil the above-mentioned processing purposes, or for the period stipulated by legal regulations:
- For the purpose of processing a price quote, if no contract is concluded: for a period of 6 months from the last contact.
- For the purpose of providing translation services: for the duration of the contractual relationship and thereafter for the period necessary for the protection of my legal claims (usually for the limitation period, i.e., 3 years from the termination of the contractual relationship, or longer if required by specific circumstances or legal regulations).
- For the purpose of complying with legal obligations (e.g., tax documents): for the period stipulated by the relevant legal regulations (e.g., 10 years for tax documents).
- Translated documents and source texts are stored on my secure drive for the period necessary to ensure the quality of services, the possibility of subsequent corrections or additional translations, and for the protection of my legal claims, but no longer than 5 years from the completion of the translation, unless otherwise agreed or unless legal regulations stipulate otherwise.
After the retention period expires, your personal data will be securely deleted or anonymized.
5. Security of Personal Data
I have adopted and maintain reasonable technical and organizational measures to protect your personal data against unauthorized access, loss, destruction, alteration, or other misuse. All documents and personal data are stored on my local drive, which is not accessible to the public and is protected against unauthorized access.
Although I strive to protect your personal data to the maximum extent, data transmission over the internet (e.g., via email or a web form) can never be one hundred percent secure. Therefore, any data transmission is at your own risk.
6. Recipients of Personal Data
Your personal data is not transferred to any third parties without your explicit consent, except where:
- it is necessary for the performance of a contract (e.g., if, with your knowledge and consent, I were to use the services of a proofreader – this would have to be agreed with you in advance),
- it is required by law (e.g., law enforcement authorities, tax authorities).
I do not transfer your personal data to third countries (outside the EU/EEA) or international organizations.
7. Your Rights in Relation to Personal Data Protection
In connection with the processing of your personal data, you have the following rights:
- Right of access to personal data (Art. 15 GDPR): You have the right to obtain confirmation as to whether I process your personal data, and if so, you have the right to access this data and information about its processing.
- Right to rectification (Art. 16 GDPR): You have the right to have inaccurate personal data concerning you rectified, and to have incomplete personal data completed.
- Right to erasure (‘right to be forgotten’) (Art. 17 GDPR): You have the right to the erasure of your personal data if one of the grounds set out in the GDPR is met (e.g., the data is no longer necessary for the purposes for which it was collected).
- Right to restriction of processing (Art. 18 GDPR): You have the right to restrict the processing of your personal data in cases provided for by the GDPR (e.g., if you contest the accuracy of the data).
- Right to data portability (Art. 20 GDPR): You have the right to receive the personal data concerning you, which you have provided to me, in a structured, commonly used, and machine-readable format, and the right to transmit this data to another controller.

In such a case, I will no longer process the data unless I demonstrate compelling legitimate grounds for the processing which override your interests or rights and freedoms.
